Overview
Guests frequently ask to adjust their reservation: change dates, switch room types, or update the number of guests. In Vesta, you can edit stay details and preview the impact before saving. This helps you confirm availability and clearly explain any price difference to the guest.
When a change affects pricing (dates, room type, rate plan, or guest count), Vesta recalculates the total and regenerates accommodation charges on the folio.
Before You Start
- Make sure you have the guest’s latest requested dates and any room preferences.
- If the booking is already checked in, there are extra restrictions (see below).
Steps
- Open the booking detail page — see Viewing Booking Details
- On the Stay Details card, click the edit (pencil) icon
- Update the fields you need:
- Check-in date
- Check-out date
- Room type
- Rate plan
- Adults and Children
- Click Review Changes
- Review:
- Any validation errors (for example, no availability or occupancy too high)
- The price impact (original total, new total, and difference)
- The updated per-night breakdown
- Optionally enable Send modification email to guest
- Click Confirm Changes
What Happens After You Save
- The booking updates immediately.
- If pricing changed, Vesta recalculates the booking total and regenerates accommodation charges on the folio.
- Manual charges you added remain on the folio.
- Taxes are recalculated based on the updated charges.
:::info If the new total is lower than what the guest has already paid, you may see a credit or refund due. Refund processing is tracked in Requests. :::
Handling Common Situations
Checked-In Bookings (Restrictions)
For bookings that are already Checked In:
- The check-in date cannot be changed.
- The room type cannot be changed.
- You can still adjust the check-out date, rate plan, and guest counts (as long as the room type stays the same).
Changing Room Type Requires a Matching Rate Plan
If you change the room type, you must also select a rate plan that belongs to that room type. Vesta will block saving if the room type and rate plan do not match.
No Availability for the New Dates
If you see an availability error during Review Changes, it means the new dates (or room type/rate plan combination) cannot be accommodated. Options:
- Try different dates
- Choose a different room type
- Keep the original booking and create a separate new booking for additional nights
